What are inline suggestions in Outlook?

Inline suggestions in Outlook are brief data and AI-driven notifications that appear in Outlook while you are either reading or composing an email or a meeting invitation.

Inline suggestions can help boost your productivity and that of your team by displaying useful suggestions, tips, and best practices around managing email and running meetings. They help inform and guide you in making effective email and meeting decisions. They can also help you reclaim focus hours and build better collaboration habits, in addition to other practical benefits. Types of inline suggestions lists some of what you might see in Outlook.

How inline suggestions work

Insights includes the following types of inline suggestions.

  • Delay email delivery: When composing an email in Outlook, you might see a suggestion to schedule email delivery at a later time. MyAnalytics can schedule email delivery that aligns with the working hours of the recipients in their respective time zones. This helps minimize disruptions to recipients outside their working hours. These suggestions are currently only available to Office 365 E5 users.

    To delay email delivery

    1. When you see a suggested delivery time, such as Thu, Nov 07 10:00 AM (as shown in the graphic), select Delay send to confirm message delivery at that time.

    2. An insight opens to show the scheduled time. You can select:

      • Send (within the email) to send the email at that scheduled time.

      • Edit time (within the insight) to change the suggested delivery time, and then select Send (within the email) to send the email at the new time.

      • Cancel (within the insight) to cancel the scheduled delivery time, and then select Send (within the email) to send the email now.

    3. After you send the email, it's kept in your Outlook Sent items folder until the scheduled delivery time, when it's automatically delivered for you.

      Before the message is sent, you can open the message and select:

      • Send now to ignore the scheduled delivery time and send the email now.

        However, none of the apps, including Word, Excel, PowerPoint, or Outlook, have an option to install new fonts.If you have to install a new style or an entire font family, you must first download and install the font files (TrueType '.ttf' or OpenType '.otf') on Windows 10 to make them available to all your apps using an, the standalone version of Office 2019, Office 2016, or an older version.In this, we walk you through the steps to install (and uninstall) new font styles for Word, PowerPoint, Outlook, and the other Office apps. Add fonts to microsoft office mac. Although Office comes with a number of fonts, sometimes you may need to add new styles to make text stand out on your project.

      • Cancel delay delivery to stop the scheduled delivery time, which moves the email to your Outlook Deleted items folder.

  • Outstanding tasks: When reading an email or a calendar invitation, you might see a suggestion to review outstanding tasks for a recipient.

    You can select See my tasks to see and follow up on the potentially outstanding task in Insights. As shown in this graphic, you can open the related task (Re: group manager docs) for more details, or select Mark as done or Not a task to remove it from your task list.

Why don't I see any inline suggestions?

Inline suggestions are available in the latest versions of Outlook for the web and Outlook for Windows with Microsoft 365 or Office 365 licenses. In Outlook for Windows, inline suggestions will show up while reading or composing email and while you have a meeting invitation open. In Outlook for the web, inline suggestions only show while reading email and meetings. These suggestions are not currently available in Outlook for Mac, Outlook for iOS, and Outlook for Android.

Also, verify that the Insights add-in is installed in Outlook. If it is not installed, you can add it by following the steps in Add the Insights Outlook add-in.

Providing feedback

You can provide feedback for a suggestion by selecting Feedback in the suggestion. If you send a thumbs down, you'll see less of that suggestion. Or you can always give us general feedback on anything with the smiley face icon at the upper-right of the Insights Add-in panel.

Opt out of inline suggestions

  1. To opt out of inline suggestions in Outlook, select the Insights icon on the Outlook Home ribbon.

    If you are using Outlook on the web, the Insights icon is in the ellipsis menu when reading an email message or when sending a new message.

  2. Select the Settings (gear) icon in the Insights Add-in panel.

  3. In Settings, for Productivity inline suggestions, change the setting to Off.

If I am opted out, can I opt back in?

Yes; if you opt yourself out, you can opt back in any time to regain access to inline suggestions.

Microsoft Workplace Analytics—a powerful new organizational analytics solution—is now generally available as an add-on to any Office 365 enterprise plan.

According to a recent Forrester report, increasing employee productivity is the number one priority for C-level executives in the next year, with 96 percent of respondents citing it as a critical or high imperative. Workplace Analytics provides unprecedented behavioral insights that can be used to improve productivity, workforce effectiveness and employee engagement.

New insights from Office 365

Workplace Analytics taps into Office 365 email and calendar metadata, including to/from data, subject lines and timestamps, to shine a light on how the organization collaborates and spends time. It turns this digital exhaust—the data that comes naturally from our everyday work—into a set of behavioral metrics that can be used to understand what’s going on in an organization.

Microsoft has enabled Workplace Analytics with built-in privacy and compliance capabilities. Customers own their Office 365 data and decide how to apply insights generated by Workplace Analytics to solve tough business challenges. Workplace Analytics only leverages metadata that is aggregated and de-identified.

Workplace Analytics was designed with the flexibility to address a broad range of strategic and organizational culture-based initiatives. Let’s take a look at a few ways customers are using Workplace Analytics:

Sales productivity

A sales organization in a Fortune 500 company used Workplace Analytics to identify the collaborative patterns of top performers and then scaled those behaviors to the broader sales organization—resulting in a significant increase in sales. Some of these insights were expected, like the amount of time spent with customers. But others were new, like the size of the person’s internal network, which may be an indicator of the salesperson’s ability to get answers and solve customer questions.

Manager effectiveness

Discrimination

Freddie Mac used Workplace Analytics to drive a cultural change with managers. In looking at how time-usage metrics are related to engagement and retention, they found that the behaviors of managers were pivotal in determining employee engagement and retention. Behaviors, such as 1:1 manager time, level of leadership exposure given to employees and the degree to which work can be distributed evenly across an organization, are measurable through Workplace Analytics.

The collaboration insights from Workplace Analytics were used by an organization to partner with its commercial real estate company, CBRE, to do space planning. They analyzed the metadata attached to employee calendar items to calculate the travel time associated with meetings. They found that as a result of the relocation, each employee reduced their travel time to meetings by 46 percent—resulting in a combined total of 100 hours saved per week across all 1,200 employees involved in the move.

Customized queries

Every organization has unique business questions, which is why we’ve included the ability to create custom queries directly within Workplace Analytics. Data analysts can choose from a unique set of collaboration metrics to explore activities and trends within the business, including time spent in email, time in meetings, after-hours time and network size. Analysts can also create custom queries and filter to aggregated population subsets including regions, roles and functions.
